Resources for Employees Affected by Hurricane Irma

Below are services to support employees at this challenging time. Please check back – additional resources may be added to this page once the effects of the storm are known. If you don’t find what you need, please call your manager to help us understand how we might help you.

401(k) Plan 

Employees may request the following: 

  • Loan – Maximum loan is the lesser of $50,000 minus your highest outstanding loan balance, if any, within the last 12 months or 50% of your vested balance. 

  • Non-Hardship Withdrawal – Available to employees older than age 59½; subject to income tax. 

  • Hardship Withdrawal – For a need arising from Hurricane Irma of an employee, or lineal ancestor or descendant, who lives or works in an affected area. Subject to income tax; may include a 10% early distribution tax if the employee is under age 59½.

Consultations and Document Review Through Hyatt Legal Plans

Through December 31, 2017, Morgan Stanley employees and any spouse, domestic partner or dependent child up to age 26 affected by Hurricane Irma* are eligible for complimentary legal consultations and document review services through Hyatt Legal Plans. Consultations may be by phone or in the office of an attorney from the Hyatt Legal Plans network.

Please note that only storm-related legal matters are eligible. Business and employment related issues are excluded. 

How to Access the Service

Call the Hyatt Legal Plans Client Service Center at 1-800-821-6400 (M-F, 8 am-7 pm Eastern). You will be asked to identify your employer, provide the last four digits of your Social Security number or your full MSID, and indicate that you are interested in document review and/or consultation services related to Hurricane Irma.

* This offer is available regardless of whether you are currently enrolled in Morgan Stanley’s group legal plan.

Pay for Time Off Related to Hurricane Irma

As employees affected by Hurricane Irma continue to recover, the Firm will ensure that you are paid as usual – specifically:

  • Non-exempt employees will be paid according to their scheduled weekly hours, regardless of the time actually worked. Actual hours worked will be supplemented with inclement weather hours, as needed, in order to reach the scheduled-hour minimum. The additional inclement weather hours will not count toward earning overtime pay. However, non-exempt employees who worked more than 40 hours will receive the applicable overtime pay. Employees or managers can enter inclement weather on their timesheet for the time out of the office as a result of the hurricane.
  • Hourly employees will be paid the number of hours they typically work each week. Employees or managers can enter inclement weather hours on the days they were scheduled to work but were unable to due to the hurricane. Any additional hours will be applied in the following payroll cycle.

The Payroll MyTime team will complete timesheets for employees and managers who are unable to do so.

Emergency Funds Relief Program

Employees who work and/or reside in eligible counties (see note below) who experienced a catastrophic loss and need short term basic necessities (e.g., food or clothing that would not otherwise be reimbursable by insurance or any other payment method) may apply for a cash payment from the Firm. An example includes extensive damage to the employee’s home rendering it uninhabitable for an extended period of time due to a natural disaster. Click the following links to review the policy and access the application. Completed applications can be sent to irmarelief@morganstanley.com. Applications will be reviewed promptly.

As designated by the Federal Emergency Management Agency, federal funding is authorized for these counties.

Medical Care

For Cigna and UnitedHealthcare members who are unable to reach an in-network provider, your claims (both emergency and non-emergency) will be reimbursed at the in-network level (80% once the employee has met their annual deductible).

Counseling and Support

Employees and their family may speak confidentially with a professional counselor – day or night – about stress, financial or family issues, at no cost.

New: Specialists can also help you with everyday needs and finding family care, shelter, hotels, pet shelters, mold removal services, plumbers and contractors.

Prescription Drugs

For employees enrolled in the Firm’s Medical Plan through Cigna or UnitedHealthcare, OptumRx will:

  • Allow early refills
  • Waive preauthorization requirements for most 30-day refills
  • Allow maintenance and specialty drugs to be filled at a local retail pharmacy without penalty

Vision Services

If an employee’s prescription eyewear or contacts were lost or damaged as a result of Hurricane Irma, VSP will reinstate the annual maximum benefit coverage available under the Firm’s plan, even if the employee has already exhausted it for the year. For example, if the employee purchased eyeglasses this year and would normally not be eligible for another pair, he/she will be able to purchase new eyeglasses and obtain the full plan benefit.

Standard plan provisions (e.g., copays, coinsurance and discounts) apply based on whether the employees uses an in-network or out-of-network provider.

Important: Employees not enrolled in the Firm’s vision plan may contact their local American Red Cross chapter and request a VSP eye care voucher, which will allow them to select from certain VSP-branded frames valued at up to $115, plus standard lenses, at a VSP provider.

Telemedicine

Speak with a doctor 24/7 for non-emergencies. Telemedicine physicians can send prescriptions to your local pharmacy when needed. Cost: $40 per consultation (or, $8 if you’ve met your annual Medical Plan deductible). These specially trained professionals can help employees with medical billing and claims advocacy. Employees can call with questions about health care coverage, for help filing or appealing a claim, if they believe they’ve been billed incorrectly by a health care provider or to learn more about the Firm’s many employee programs.

Bright Horizons Backup Day Care

If the Bright Horizons backup childcare center in the employee’s area is…

  • Open – The standard copay of $20 per child, up to a $35 maximum per family, applies.
  • Not open due to the natural disaster, Bright Horizons will reimburse employees (up to $100 per day) who arrange for backup care from a relative, babysitter, friend, etc. Pre-registration is required. Bright Horizons has activated this program for Florida, Georgia and South Carolina through September 15.

Note: In either case, call to register first. Also, the fair market value of these services paid by the Firm on the employee’s behalf will be considered taxable income, as usual. Additionally, if the employee contributes to a Dependent Day Care Flexible Spending Account, the annual contribution will also be reflected on the employee’s Form W-2. If the total of those two amounts exceeds $5,000, the amount over $5,000 will be considered taxable income.
